Managing Agent Relationship Officer - Leasehold & Service Charges

Braxfield Recruitment is working with one of the UK's largest housing associations to recruit a Managing Agent Relationship Officer. This role suits someone who knows leasehold inside out and is happy holding external managing agents to account.

The role

You'll manage a portfolio of external managing agents and management companies that look after around 18,000 properties. You'll make sure they meet their statutory and regulatory obligations and give residents a good service that is value for money. You'll report to the Managing Agent Relationship Manager. It's a busy, varied role where you'll plan your own workload.

Key responsibilities

  • Be the main contact for customer queries about services from managing agents, making sure issues are resolved quickly and properly
  • Keep a matrix of all managing agents, covering contracts for cleaning, grounds maintenance and window cleaning, plus costs and payment frequency
  • Read, interpret and explain complex leasehold documents and variable service charge provisions
  • Support the Manager with Section 20 consultations, solicitor enquiries, court cases and First-tier Tribunal hearings
  • Investigate and resolve disputes with managing agents, and escalate quality concerns to freeholders
  • Build internal controls and a clear audit trail showing agents are meeting their legal responsibilities
  • Attend AGMs and resident meetings
  • Work with Property Services on cyclical maintenance, major works and sinking funds
  • Keep the managing agent and management company databases accurate and up to date

What you'll need

  • CIH Level 3 qualification, or equivalent experience
  • In-depth knowledge of the Landlord and Tenant Act 1985 in relation to leasehold compliance and service charges
  • Experience preparing and managing Section 20 and Section 20B notices
  • Knowledge of the Building Safety Act 2022 and the Leasehold and Freehold Reform Act 2024
  • Excellent communication and interpersonal skills, with the ability to adapt to different audiences
  • Strong organisational skills, high attention to detail and the ability to manage competing deadlines
  • Numerate and accurate with figures (desirable)
